Tracking Flowers, Gifts, and Care Items in Notebird

Many organizations track when they send flowers, gift baskets, or other care items in spreadsheets.

Notebird makes this easier by allowing you to track these items directly within a person’s profile using Milestones. This keeps all care-related actions centralized and easy to report on later.

Why Track Gifts and Care Items?

Recording when your team sends flowers, gift baskets, or other support items helps your organization:

  • Keep a record of how you are caring for people

  • Track spending related to care efforts

  • Maintain continuity even when staff or volunteers change

  • Easily generate reports for leadership or budgeting

By storing this information in Notebird, your team always has access to the history of care provided to each individual.


How to Record When Flowers or Gifts Are Sent

  1. Navigate to the person’s profile.
    Use the search bar to locate the individual who received the gift.

  2. Scroll down to the Milestones section on their profile.

  3. Click Add Milestone.

  4. From the milestone type dropdown, select Flowers Sent (or another relevant milestone type).

  5. Choose the date the item was delivered.

  6. Leave Show Annually in Activity Feed unchecked.
    Since this is a one-time action, most organizations do not need a yearly reminder.

  7. In the Short Description, enter the amount spent or any relevant detail (for example, $56.99).

  8. Click Save Milestone.

The milestone will now be recorded on the person’s profile for future reference.


Running a Report on Flowers or Gifts Sent

You can quickly generate reports showing all care items your organization has sent.

  1. Click your name in the upper-right corner of Notebird.

  2. Select Reports.

  3. Choose Milestones.

  4. Search for and select Flowers Sent (or another milestone type).

  5. Choose your preferred date range.

Notebird will generate a report showing all individuals who received flowers during that timeframe.

The report will include:

  • The person’s name

  • The date the flowers were sent

  • Any details entered in the description (such as the amount spent)


Exporting or Sharing the Report

You can easily share this information with others on your team.

Reports can be:

  • Exported as a CSV file (Excel spreadsheet)

  • Printed

  • Saved as a PDF

The report includes a chart summary at the top and a detailed list of all recorded items below.


Customizing Other Care Items

In addition to flowers, you may want to track other items such as:

  • Gift baskets

  • Meals delivered

  • Care packages

  • Books or devotionals

  • Other ministry gifts

Administrators can create custom milestone types in Settings to track any care item your organization provides.
