How Do I Create Updates and Tasks for Multiple People?

Notebird lets you create one update for several people or create the same task for multiple people at once. This is useful when an interaction involves several people or when multiple people need the same follow-up.

Why Create an Update for Multiple People?

Sometimes an interaction involves more than one person.

For example, you might have a conversation with several people, visit a family, or meet with multiple people during the same care interaction.

Instead of copying the same information to each person's profile, you can create one update and associate it with everyone involved.

The update appears on each person's profile, helping your team maintain a shared history of care.

For more details about using family relationships, see How Do I Create Updates and Tasks for a Family?

How to Add an Update for Multiple People

You can create an update for multiple people directly from the People page.

  1. Go to the People page.

  2. Select the people you want to include.

  3. Click the Update Icon.

  4. Complete the update form.

  5. Save the update.

Note: You can select up to 20 people for a single update.

After saving, Notebird confirms that the update was saved and provides a link to view it.

What Happens When I Save an Update for Multiple People?

When you save an update for multiple people:

  • The same update appears on each person's profile.

  • The update identifies the other people included.

  • Each person's care pulse is reset.

  • Reports and totals count the update once, not once for every person.

This lets you document an interaction once while keeping it connected to each person's profile.

How to Add an Update from Activity

You can also create an update from the Activity area.

  1. Open Activity.

  2. Click the round + button.

  3. Select the person or people involved.

  4. Write your update.

  5. Save it.

Notebird may suggest family members when you select a person.

Who Can See an Update for Multiple People?

  • Updates follow Notebird's normal group visibility and permission rules.

  • The update form explains who will be able to see the update.

  • If the people belong to different groups, each group will see the entire update.

  • If you select a group that one of the people does not belong to, Notebird adds that person to the group and explains this in the form.

  • Restricted updates continue to follow their existing privacy rules.

Why Can't I See Every Person's Name?

  • Notebird only displays the names of people that the current user has permission to open.

  • If someone does not have access to a person's profile, that person may appear as and 1 other instead of showing their name.

This applies to Activity cards, Inbox messages, emails, and the Early Bird Report.

Can I Edit an Update for Multiple People?

  • Yes. If you have permission to edit an update, you can add or remove people associated with it.

  • People whose profiles you cannot open may appear as 1 other person.

Members must keep at least one of their own groups associated with the update.

What Happens When I Delete an Update for Multiple People?

  • Deleting an update removes it from everyone's profile associated with that update. Its comments and reactions are also removed.

  • Deleting an update cannot be undone.

Note: If you delete a person's profile, an update that only concerns that person is deleted with the profile. However, an update that also includes other people remains available on their profiles.

How Do I Create a Task for Multiple People?

When you create a task for several people, Notebird creates a separate task for each person.

For example, if you create the same follow-up task for three people, each person receives their own task. Completing one person's task does not complete the others.

You can create tasks for up to 20 people at a time from the People page.

How to Add Tasks from the People Page

  1. Go to the People page.

  2. Select the people who need the task.

  5. Click Save N tasks.

How to Add Tasks from the Tasks Page

You can also create tasks directly from the Tasks area.

  1. Open Tasks.

  2. Click the round + button.

  3. In Add a task for..., search for and select the people who need the task.

How Does the Task Form Work?

When you create a task for multiple people, the form displays a selection for each person.

You can remove a person before saving if they do not need the task.

Groups

Each task is associated with the selected person's own groups.

If a person does not belong to a group, Notebird asks you to pick a group for {name}'s task.

Assigned to

The Assigned to list only includes teammates who can see every task being created.

If a teammate is not included, they may not belong to one of the groups associated with the selected people.

What Happens After I Save Multiple Tasks?

Notebird creates a separate task for each selected person.

Each task appears on that person's profile and follows the visibility rules for their groups.

When someone completes a task, the completion card identifies who completed it.
