How the Early Bird Report Picks People in the "Reach Out" Section

Each week, the Early Bird Report suggests a few people to proactive reach out to who have not had a check-in in a while. Learn why, how they are picked, and how to change it.

Every morning, your Early Bird Report can suggest a few people to reach out to that week. Here is why, and how Notebird picks them.

Why Notebird suggests people

Most care starts with a crisis: a hospital stay, a death in the family, a hard phone call. Your team shows up for those moments. But the people who slip away are often the quiet ones. They are not in crisis, so nobody calls, and months go by.

Reach out helps you notice them before they drift. A few names each week is a small, doable habit. A short call, text or note often means more than you think. It helps everyone in your care feel seen and known, so no one falls through the cracks.

These are suggestions, not tasks

The people on your list are not assigned to you, and nothing is due. They are a nudge to check in with someone who has not had care in a while. This is not AI! It is a simple rule based on the updates your team adds in Notebird.

Who Notebird suggests

Each Monday, Notebird picks 3 people for you from people in your care who:

- have had no update in 30 days or more (your Pulse setting), and

- had an update in the last 6 months.

People with no update yet can show up too: people added in the last 30 days, and members or regular attenders.

Notebird picks in this order:

1. People you follow

2. Members

3. Regular attenders

4. Everyone else

Within each group, the people who have waited longest come first.

Your teammates get different people

Each person on your team gets their own list, so your team reaches more people and two people do not call the same person. A name repeats between teammates only when there are not enough people to go around.

Who Notebird never suggests

- Archived people

- People marked as deceased. This covers a Deceased milestone, a "Deceased" note from Planning Center, ShulCloud or Church Windows, and a "Deceased" membership type.

- People you unsubscribed from

- People in groups or membership types that your admin left out

- People who already have a task or milestone in today's report

How to check someone off

When you talk with someone on your list, add an update for them. They get a check mark the next morning.

When all of them are done, you see a small celebration.

New names come every Monday. If you already saw someone this week, add a quick update. It keeps their care history complete and checks them off.

What admins can change

Admins can change these settings in Settings > Early Bird Reports. They apply to everyone at your church.

- Suggest people to reach out to: turn the list on or off for everyone.

- People per week: 1 to 5 (default 3).

- Look back: 1 to 12 months (default 6). Notebird only suggests people with an update in this time.

- Don't suggest people in these groups: for example, staff or people you see every week.

- Don't suggest these membership types

The 30 days comes from Settings > Custom time ranges (the Pulse setting). Changes to people per week and look back start the next Monday.

Your own report

Each person picks their own report time, and whether it comes by email, to their inbox, or both. Go to User profile > Notifications.
