Notebird and Breeze Profile Archival Status Guide

The chart you see below is a quick reference guide to know what happens when a profile is archived or unarchived in both Notebird and within Breeze. We understand this part might be a little confusing so please don't hesitate to reach out to our team via the 'chat with us' button.

Archiving people profiles removes them from visibility and reports. This is often done when someone is deceased or no longer attends your church.

What happens in Notebird when a congregant's profile is archived in Breeze?

If a congregant profile is first archived in Breeze then that person in Notebird will be deleted unless that person has an update(s) or task(s) saved within their profile. In that case, that person will be archived in Notebird meaning that you will no longer see their profile on your main people page or be able to make updates to their profile.

This protects the care history that has been stored within Notebird.

The profile will be archived in Notebird after you manually refresh the data (re-sync).

What happens in Notebird when a congregant's profile is unarchived in Breeze?

Profile with previous care history stored in Notebird

If a congregant is unarchived in Breeze, that person's profile in Notebird will remain archived if they had any update(s) or task(s) stored within their profile. You will need to unarchive that profile in Notebird in order to make updates, add tasks and log life milestones.

Profile with no prior care history stored in Notebird

If the congregant profile did not have any updates or tasks then it was deleted from Notebird when it was last archived. When you unarchive that profile in Breeze a new profile for that congregant will be added and active in Notebird.

Remember, you will need to manually refresh the data since changes were made in Breeze.

What happens in Breeze if a person is archived in Notebird?

If a person is archived in Notebird, that person remains active in Breeze. Upon the next sync, that profile in Notebird will still remain archived. Changing the archive status in Notebird does not impact Breeze archive status.

What happens in Breeze if a person is unarchived in Notebird?

If a person is unarchived in Notebird, that person remains archived in Breeze. Changing the archive status in Notebird does not impact Breeze archive status.

What happens if I unarchived a person in Notebird who has been deleted in Breeze?

If a person is deleted in Breeze, but that individual has care information stored in Notebird, their profile in Notebird will be moved to an archived status. If a user then unarchives that same person's profile it will create a completely new profile in Breeze upon the next data refresh.

What happens if I delete a person in Notebird?

If a congregant is deleted in Notebird then all update(s), task(s) and milestone(s) will be deleted. You will see a warning box show up and this action cannot be undone.

If that congregant is still active in Breeze then upon the next sync a new profile will be created in Notebird –previous care information will not be brought back.

What happens if I delete a person in Breeze?

A person deleted in Breeze will also be deleted in Notebird if there are no updates, tasks or milestones created for that person. If there is care information stored in Notebird then that person will be archived in Notebird. That person will be deleted or archived the next time the Breeze data is refreshed within Notebird.

What happens if I unarchived a person in Notebird who has been deleted in Breeze?

If a person is deleted in Breeze, but that individual has care information stored in Notebird, their profile in Notebird will be moved to an archived status. If a user then unarchives that same person's profile it will create a completely new profile in Breeze upon the next data refresh.
